The after-hours problem
Calls do not politely wait until Monday morning.
Prospects still want answers. Residents still report problems. Maintenance details still need to reach the right person. Without a consistent intake process, the next day can begin with a scavenger hunt through voicemails, texts, and half-complete notes.
Leasing leads cool off quickly.
If prospects cannot get basic information or take a next step, they may simply call the next property on their list.
“The sink is broken” is not a work order.
Staff lose time calling back for the property, unit, issue, urgency, access details, pets, and availability.
Every call should not become an interruption.
Routine questions can be handled consistently while unusual, urgent, or sensitive matters reach a human.
One concierge. Six practical workflows.
Designed for the calls your team handles every day.
The Concierge follows approved information and routing rules for your operation. It does not make up policy, guess at eligibility, or pretend every caller needs the same answer.
01
Maintenance Triage
Collect the property, unit, issue, urgency indicators, entry permission, pets, and resident availability before routing the request.

Collect contact details and the reason for the call so opportunities are not lost simply because the office is closed.

Guide qualified prospects toward available tours or follow-up times when scheduling connections are supported.
05
Routine Resident Questions
Use your approved knowledge to answer common questions and route account-specific matters without exposing private information.

This on-page preview demonstrates the workflow. The final “Call the Demo” button can connect to your live voice-agent number or web-call experience.
AI with boundaries
Helpful does not mean reckless.
A trustworthy Concierge needs clear rules for what it may say, what it must collect, and when it should stop and hand the conversation to a person.
What the Concierge can do
Use approved property, leasing, and resident information.
Follow structured questions for consistent intake.
Route calls based on approved urgency and escalation rules.
Create summaries so staff receive the call context.
State when it does not know and arrange the next step.
What it should not do
Make housing eligibility or screening decisions.
Promise availability, pricing, repairs, or outcomes it cannot confirm.
Expose private resident or account information.
Diagnose technical problems beyond approved guidance.
Keep talking when immediate danger requires emergency help.
How implementation works
From your policies to a working Concierge.
The technology is only one piece. The real work is translating your properties, responsibilities, rules, and escalation paths into a solution callers and staff can rely on.

The experience behind the system
Built by someone who understands technology, workflow, and accountability.
I’m Evelyn D. Brooks, founder of Core Project Management Essentials. I bring more than 30 years of information technology and project management experience to the design of practical AI workflows.
The Concierge is not built around technology alone. It is shaped by the people who manage the properties, the callers who need help, and the business rules that keep the operation moving responsibly.

Frequently asked questionS
Before you hand AI the phone…
Is the Concierge intended to replace staff?
No. It handles routine intake and approved information so staff can focus on work that requires judgment, empathy, negotiation, or direct action.
Can it connect with our current systems?
Possibly. Available connections depend on the tools you use, their access options, and the workflow. Integration needs are reviewed during discovery.
What happens during a possible emergency?
The Concierge follows your approved escalation logic and can instruct callers to contact emergency services when immediate danger is involved. It does not replace emergency responders.
Can it answer every question?
No—and it should not pretend it can. It uses approved knowledge, states when an answer is unavailable, and routes the caller toward the right next step.
Can we begin with after-hours calls only?
Yes. A focused after-hours workflow can be a practical starting point before expanding to other call types or business hours.
Do I have to schedule a meeting to hear it?
No. The live demonstration can be offered without an appointment. Schedule a conversation only when you are ready to discuss your portfolio and requirements.
